Ever felt like you’re working all day but not really getting the important stuff done?

I know I have.

Especially when working from home, it’s easy to get caught up in endless to-do lists, emails, and minor tasks that keep you busy but not really productive.

This is where the 80/20 Principle really helps.

Also known as the Pareto Principle, it’s a super simple concept than can seriously boost your productivity and maybe even change the way you work.

What’s the 80/20 Principle Anyway?

In a nutshell, the 80/20 Principle suggests that 20% of your activities produce 80% of your results. This idea pops up everywhere:

20% of customers account for 80% of sales.

20% of products generate 80% of profits.

20% of your tasks contribute to 80% of your success.

Think about it: This means that out of ten tasks on your list, two will be way more valuable than the other eight combined.

My Aha! Moment with the 80/20 Rule

Before COVID and the whole hybrid thing my calendar was packed, my to-do list was endless, and I always seemed to be juggling multiple projects.

But despite all that effort, I often felt like I wasn’t making real progress on the things that mattered most.

One Friday, after yet another long day of putting out fires and responding to emails, I realised I hadn’t moved the needle on a major project that was due the following Monday!

Panic set in and I had to spend my weekend finishing the project rather than relaxing with my family.

That’s when I started to dig deeper into the 80/20 Principle.

Applying the 80/20 Principle

Here’s how I applied the 80/20 Rule to get more focussed on the important things (and how you can too):

  1. Identify the Top 20% Tasks – I started by listing all my tasks for the day and then highlighting the ones that would have the biggest impact. These became my priority.
  2. Tackle the Most Important Task (MIT) First – Instead of starting the day by checking emails or minor tasks, I focussed on my most important task when my energy levels were highest.
  3. Set Boundaries for the Bottom 80% – I allocated specific times for less critical tasks, like responding to emails or administrative work, usually later in the day when my energy dipped.

Why This Makes Such a Difference

Focusing on the top 20% of tasks:

  • Boosts Productivity: You make significant progress on meaningful work.
  • Reduces Stress: Crossing off important tasks reduces anxiety and creates a sense of accomplishment.
  • Improves Work-Life Balance: By being more effective during work hours, you free up time for personal activities.

Overcoming the Urge to “Do It All”

It’s tempting to try to tackle everything on our to-do lists.

But the truth is, not all tasks are created equal.

By acknowledging that some activities have a disproportionate impact on our goals, we can make smarter choices about where to invest our time and energy.
